Supervises and coordinates activities of staff and vendors engaged in facilities maintenance and security, mailroom, copy services and inventory, and administration of the company mobile device and company fleet vehicle programs.
Directs facilities maintenance services and repairs through vendors, including plumbing, carpentry, painting, plastering, HVAC, security system, electrical servicing to the organization's facilities, janitorial services and grounds maintenance.
Performs and/or assigns staff routine building repairs and maintenance; recommends tools, equipment, and supplies, as necessary.
Inspects completed work for conformance to specifications, safety regulations and building codes and maintains records and service/repair schedules.
Oversight of onsite building security vendor and ensures coverage, as necessary.
Manages the company fleet to ensure all vehicles are maintained properly, leases are current, and all legal insurance and registrations are in place; maintains related records and compiles mileage logs for payroll reporting.
Responsible for administering the company cell phone and mobile device plan, working in conjunction with the Information Technology Department and Financial Services to allocate devices and expenses.
Configures conference room set-up for company and outside meetings.
Maintains, enforces and regularly trains all staff on company’s safety and emergency evacuation policy and practices.
Liaison for building tenants and members of River Plaza Property Association on facilities related matters.
Oversight of interoffice and USPS mail retrieval, sorting and distribution; fulfillment and shipment of Farm Bureau and affiliated company mail, bulk invoices, products and packages.
Coordinates leases and servicing of company copiers; ensures all lease reporting requirements are met. Oversight of copy job requests.
Other duties as required.
A minimum of 5 years experience performing related duties and supervising staff engaged in related duties.
Proficient with Microsoft Outlook email and calendaring, Microsoft Word; advanced proficiency in Microsoft Excel including the ability to create and manipulate spreadsheets.
Experience generating and managing building maintenance operating budget.
Ability to travel to additional local worksite, as needed.
